Appointment reminders that stop no-shows

A no-show never calls to tell you. The slot just sits there empty while you eat the cost. Automatic reminders make sure forgetting is never the reason.

The problem

An empty slot costs you twice

Think about what that no-show actually took from you. You held the time, so you turned someone else away for it. Then the customer did not come, so you got paid by nobody. One empty chair, one quiet driveway, and you lost the job you booked and the job you refused. That is silent theft, and it happens without a single angry word from anyone.

Chasing it down is worse. The awkward phone call where you try to ask "did you forget" without sounding like you are scolding a customer. The scribbled rebooking on a paper calendar that already has three crossed-out entries for Tuesday. Half the time they are embarrassed, you are annoyed, and neither of you says so.

None of it is malice. People book a week out, life happens, and the appointment falls out of their head. A short text the day before fixes almost all of it. You just cannot be the one sending those texts by hand at 8pm every night.

How it works

Every appointment reminds itself

You book the job once. The system handles every nudge after that.

  1. 1

    An appointment hits the calendar

From your booking page, from a text thread, or typed in by you. However it gets there, reminders attach automatically.

  2. 2

    Reminders go out on schedule

Text and email, in your wording, on the timing you choose. The day before, the morning of, or both.

  3. 3

    The customer confirms or rebooks

One reply confirms. If the day stopped working, they pick a new time by text instead of just not showing up.

  4. 4

    You see it coming

Confirmations land in the thread, and a slot freed the day before is a slot you can still fill.

What you get

Reminders that run without you

  • Your words, your timing. You decide what the reminder says and when it goes out. It reads like a note from your shop, not a robocall from a call center.
  • Confirm or rebook by reply. Customers answer the text to lock it in or grab a different time. No phone tag, no voicemail.
  • Email as the backstop. A matching email goes out too, for the customers who treat texts like junk mail and inboxes like gospel.
  • Everything logged in the thread. The reminder, the confirmation, and any reschedule sit in the same conversation as the rest of your messages with that customer.
  • Carrier registration handled. Automated business texting requires A2P registration. We take care of it during your build, and nothing sends until it is approved.

Timeline

Day 1

One short call

We ask how your schedule works now, how far out people book, and what a reminder from you should sound like.

Your booking calendar goes in, reminder timing gets set, and you approve the exact wording customers will see.

Day 7

Full system live

Your website, booking, reminders, and inbox are all running.

Answers

Appointment reminder questions

Will customers find the reminders annoying?

The opposite, in practice. A short text the day before an appointment is the kind of message people actually want, because it saves them from being the no-show. Dentists and doctors have done it for years and nobody complains. You control the timing, so it never feels like nagging.

What if the reminder makes someone cancel?

Then the reminder did its job. A cancellation the day before gives you a slot you can refill. A no-show the day of gives you nothing. The reminder does not change whether they were coming. It changes whether you find out in time to do something about it.

Do I have to switch calendars?

The reminders run off the booking calendar we set up as part of your system, and it syncs with the calendar on your phone. If you are coming off paper, we set it up with you on the kickoff call. Most owners are comfortable with it inside a week.

What about customers who do not text?

They get the email version, and you can always call the handful of holdouts the old way. The point is that the system handles nearly everyone automatically so your phone time goes to the exceptions, not to the whole schedule.

When do the text reminders start sending?

After your business texting registration (A2P) is approved by the carriers. We file it during your build, and approval usually comes through quickly. Until then, email reminders can run, and no automated text goes out before approval. That is a carrier rule, and we do not cut corners on it.
